Overview

A leading and rapidly growing civil engineering and infrastructure contractor is seeking a dedicated Site Administrator to provide vital administrative support to operational and commercial teams across multiple live construction projects.

As a Site Administrator, you will play an essential role in ensuring project records, documentation, and site information are accurately maintained in line with company procedures. Collaborating closely with site management, project teams, subcontractors, and other stakeholders, you will contribute to the successful delivery of projects by maintaining smooth operational and compliance standards.

Key Responsibilities

  • Upload, track, and manage site and project records, including site diaries, risk assessments, RFIs, safety files, and change control documentation.
  • Assist site teams in maintaining health and safety records to ensure accuracy and accessibility.
  • Maintain plant, equipment, and materials registers, while confirming inspection records are up-to-date.
  • Monitor and manage subcontractor documentation, such as certifications, competency records, and compliance details.
  • Ensure project drawings and documents are properly controlled and compliant with document control procedures.
  • Prepare and submit weekly and monthly project reports, including KPIs and compliance data.
  • Coordinate inspections and testing of equipment and liaise with subcontractors on safety requirements.
  • Facilitate site establishment activities such as visitor management, inductions, and toolbox talks.
  • Maintain adequate stock levels of site consumables, PPE, and office supplies.
  • Manage incoming communications and administration queries, directing them appropriately.
  • Organize, store, and manage electronic and physical site documentation accurately.
  • Provide general administrative support for site management, project teams, and commercial teams as needed.
  • Support an organized and efficient site office environment.
  • Assist with document preparation, reporting, and other administrative tasks through the project lifecycle.

Qualifications

Required Experience & Skills:

  • Proven experience in an administration role, ideally within construction, civil engineering, infrastructure, or a similar site-based environment.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to multitask and manage priorities in a dynamic, fast-paced environment.
  • Competent with Microsoft Office applications, especially Word, Excel, and Outlook.
  • Familiarity with document management systems or electronic filing platforms.
  • Effective written and verbal communication abilities.
  • Proactive and professional approach to administration tasks.
  • Ability to communicate effectively with diverse teams, subcontractors, and stakeholders.
  • Strong accuracy when handling records and compliance-related documentation.
  • Positive attitude with solid problem-solving capabilities.
  • Independent yet team-oriented work style.

Desirable Skills & Experience:

  • Experience in a construction, civil engineering, or site-based environment.
  • Knowledge of project document control procedures.
  • Familiarity with health and safety documentation in a construction setting.
  • Experience handling subcontractor certifications and compliance documentation.

Day-to-Day

Your daily tasks will involve:

  • Ensuring documentation is current and stored correctly, both electronically and physically.
  • Coordinating with site teams and subcontractors regarding compliance and inspection needs.
  • Supporting health and safety record upkeep and promoting a safe site environment.
  • Facilitating the smooth handling of administrative queries, reporting requirements, and team needs.
  • Maintaining an efficient and organized site office while managing stock and supplies.
  • Contributing to project success through accurate documentation and compliance tracking.
